Setting Up a Money System You Will Actually Maintain
Twenty minutes a week. That is what it takes to do your own bookkeeping at home, and we timed every piece of it to be sure.
Almost every article about this tells you to stay on top of your books and then stops. Nobody says how long it takes, so you imagine an afternoon, and an afternoon is easy to put off until it becomes a weekend, and then a quarter.
The reason systems fail is almost never discipline. It is that nobody ever costed the job, so it stayed the size of your dread instead of the size it really is.

The whole job, timed
What you do | When | Minutes | What breaks if you skip it |
Categorize the week's transactions | Weekly | 8 | Everything downstream. This is the one that matters |
Photograph receipts over $75 | As it happens | 2 | A deduction you cannot evidence is one you do not get |
Move the tax set-aside across | Weekly | 2 | January arrives and the money has been spent twice |
Check nothing is uncategorized | Weekly | 3 | Your reports quietly understate both sides |
Reconcile against the bank balance | Monthly | 5 | Errors compound. Catch them inside 30 days |
Note anything unusual while you remember it | As it happens | 1 | In March you will not remember what that $340 was |
Check what repeats | Monthly | 2 | Subscriptions you stopped using in 2024 |
Look at the month before closing it | Monthly | 4 | You never learn anything from numbers you do not read |
The weekly items come to fifteen minutes. The monthly ones add about eleven, spread across four weeks. Call it twenty minutes a week and you have a margin.
Why this works when a spreadsheet did not
A spreadsheet asks you to remember. A system asks you to recognize.
That is the real difference, and it is why the same person who abandoned three spreadsheets can hold a system for a year. Recognizing a charge you made on Tuesday takes a second. Reconstructing it in April takes ten minutes and a bank statement.
Everything below is built on doing the small thing while it is still small.
The order to set it up in
One account for the business. Not a perfect structure. One account, so the sorting job halves on day one.
Decide your categories once. Fewer than you think. Most people use about twenty and the rest is decoration.
Pick the twenty minutes. A named slot in the week, not \"when I get a chance\". Friday before you close up works because the week is still in your head.
Do the first catch-up in one sitting. However far behind you are, it is one job, once. Do not do it weekly and catch up at the same time.
Set the tax aside on the day money arrives. Not monthly. The day.

The part people get wrong
They start with the reports.
Reports are the reward, not the work. If the sorting is not happening weekly, a better report changes nothing, because the report is only as true as the last twenty minutes you spent.
Start with the twenty minutes. The reports build themselves.
Do it with the free version
You do not need to buy anything to start. The free Money Mastery Net Worth Tracker holds what you own and what you owe, personal and business together, with no bank connection. It is free and it stays free.
When the sorting is the part eating your week, that is what the Money Mastery System is for. Clarity remembers how you sorted something last time and suggests it the next, which is most of where the twenty minutes comes from.
Questions we hear
I am nine months behind. Where do I start? With this week, not with January. Get the current week clean so the pile stops growing, then do the backlog in one sitting or one month at a time. Starting at the oldest month is how people give up.
Do I need separate business and personal accounts? It makes the job about half as long, so it is worth doing even though it is not legally required for a sole proprietor. If you cannot yet, the Money Mastery System keeps both sides apart inside one place.
What if I miss a week? You do the next one. Two weeks is thirty minutes, not a crisis. The system only fails when missing becomes the normal state and nobody notices.
Is twenty minutes really enough? For most one person businesses, yes, once you are current. Getting current is the part that takes longer, and it happens once.
Bring it to the Collective
The hardest part of a new system is the first month. The Money Mastery Collective has a discussion feed open to free members, and it is a good place to say you are starting and be asked about it in three weeks.
